Power Apps: Turning Everyday Processes into Competitive Advantage

Retire the spreadsheet that quietly runs your business.

The low-code opportunity

Low-code is sometimes sold as a shortcut. The real value for a growing business is control. Instead of waiting months for bespoke software, you start with the process you already have and improve it step by step.

Build an app quickly for a specific workflow - a request form that routes approvals and logs outcomes - deploy it to a small group, refine it in days, and scale once it proves value. Pair it with Power Automate to connect actions and approvals across Microsoft 365, and with Dataverse for more robust data as needs grow. Low-code also encourages standardisation: when a process lives in an app rather than emails and spreadsheets, you guide users through consistent steps and validate data at the point of entry.

Replacing spreadsheets with purpose-built apps

Spreadsheets are useful, but they are not process tools - they are rarely designed with permissions, workflow logic, or audit trails in mind. When a spreadsheet becomes the source of truth for something important, it tends to accumulate workarounds: manual steps, emailed updates, version confusion, and no clear owner.

Power Apps replaces that pattern with something purpose-built: a form that captures the right data, routes it to the right people, triggers the right actions, and logs everything. The process becomes visible and controllable in a way a spreadsheet never is.

Common starting points include:

  • Approval workflows - asset requests, expense sign-offs, onboarding steps, change requests
  • Field data capture - inspection forms, site reports, customer visit logs that feed directly into SharePoint or Dataverse
  • Internal portals - IT request tracking, HR self-service, project status dashboards
  • Customer-facing tools - lightweight booking, enquiry, or feedback forms connected to your back-office systems

What makes a Power Apps project succeed

The technical build is usually the straightforward part. The harder work is process definition: understanding exactly what the current process is, where it breaks down, and what the app needs to do differently. We spend time on this before we write a line of code, because an app that automates a broken process just makes the same mistakes faster.

We also focus on adoption from the start. A new app only delivers value if people use it - and people use apps that feel like they were designed for them, not imposed on them. That means involving users early, keeping interfaces simple, and measuring whether the app is actually being used the way it was intended.

The Microsoft 365 advantage

If your organisation already uses Microsoft 365, you have Power Apps included in your licence - and the integration is deep. Apps connect natively to Teams, SharePoint, Outlook, and Dataverse. Approval notifications land in Teams. Form submissions create SharePoint list items. Data flows between systems without custom integration work.

This is a significant advantage over standalone low-code platforms that require separate licences and connector configuration. The investment is already made; the question is whether you are using it.

Where to start

Most organisations we work with have three or four processes that everyone knows are more manual than they should be. Those are the right starting points - visible pain, clear benefit, motivated users.

We run a short discovery session to identify the best candidates, assess the current process, and size the build. From there, most initial apps can be delivered in two to four weeks, with refinement cycles that keep improving them based on real use.

If you have a spreadsheet that has become load-bearing infrastructure for your business, that is probably the best place to start.
